Document Controller & Administrator

  • Manage organizational documentation through the document life cycle.
  • Maintain organizational documents and the document management system.
  • Work with inhouse departments to identify and investigate the need for documents of various types.
  • Ensure that organizational documents go through a documented and approved review-and-approval process before being stored.
  • Analyses and controls all documentation related to sustainability department and business activitieswithin contractual requirements and Company procedures (including confidentiality).
  • Participates in the development, maintenance and improvement of departmental and sustainabilitydocument control work processes.
  • Handles and registers all outgoing and incoming transmittals according to sustainability documentcontrol procedure.
  • Collects information for reports, prepare and issue as directed periodical work report as required bysustainability department.
  • Ensure the security, accessibility, and proper distribution of organizational documents.
  • Plan and conduct meetings and presentations related to document management.
  • Able to create document fixed formats for templates.
  • Maintain updated records of all approved documents and their distribution clearly.
  • Work with all departments to put in place a Management of Records system to compliment theDocument Management system and meet a respective sustainability certification requirement.
  • Controlling the forms used to record data onto records and ensuring the records stay controlled as theyare used, stored, and preserved.
  • Shall be responsible for all duties necessary to create, edit, review, upload, copy, scan etc. to ensureDocument Management is functional and successful.
  • All other tasks assigned by management.


  • Possess at least a SPM / STPM / Certificate / Diploma.
  • At least 3 years of experience in Document Control / Admin.
  • Knowledge of sustainability certification such as ISCC, NIS, etc will be added advantage.
  • Must be familiar with Microsoft Office (Word, Excel and PowerPoints)
  • Good written and verbal communication skills, especially in English.
  • Able to communicate with all levels, assertive and initiative.
  • Candidates must be able to work independently, having good work ethics, pleasant personality,proactive, positive attitude, self-motivated, trustworthy and resourceful.
  • Willing to work on Saturdays (no alternate).
  • Able to report duty ASAP.
