Monitor inventory of office supplies and restock as needed.
Maintain the general office filing system.
Handle all matters pertaining to building management, maintenance, and company asset (included operation and administration matters).
Handle renewal of business license or related renewal or application with city council, land office or other government bodies.
To perform monthly and yearly stock count for office and maintenance’ stocks.
To analyse and prepare office and maintenance services stocks’ reports on daily, weekly, monthly, and yearly usages.
Plan and conduct pre-emptive maintenance with vendor on building lighting,air-conditioning,meeting equipment and all other office related equipment.
To manage, monitor and liaise with tenants renting company properties and apartments.
To manage and monitor on regular basis pertaining all matters on waste collection and cleaning of office buildings and apartments.
Plan, manage and liaise with vendor all pertaining matters for the building operation, administration, and safety.
Manage vendor for office maintenance, renovation, and supplies.
To proactively in decision making pertaining all matters to property administration in order to ensure smooth operation in the building.
Answer and direct phone calls in a polite and friendly manner.
Welcome visitors in a warm and friendly manner including answer any questions from visitors.
Maintain reception area and all common areas in a clean and tidy manner at all times.
Operate standard office equipment on a regular basis, including a copy machine, and a computer.
Keep detailed and accurate records of visitor requests and of calls received.
Receive deliveries including sort and distribute incoming mail.
To perform any other ad-hoc tasks as assigned by Management and superior.
JOB REQUIREMENT
Candidate must possess at least a SPM, Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree in any field.
At least 2 year(s) of working experience in related fields.
Proficient in Microsoft Office.
Strong phone skills.
Demonstrated ability to read, write, and speak English.
Comfortable multi-tasking and prioritizing tasks without guidance.
Excellent interpersonal skills.
Punctual with strong attendance history.
Required language(s): Demonstrated ability to read,write, and speak English and Bahasa Malaysia. Mandarin proficiency is an added advantage.
Experience in property/facility management is an added advantage
